Treasurer

The Treasurer shall:

  • receive all income paid to the Association including members’ subscriptions whether paid direct or via the Company by way of deduction from salaries
  • maintain all accounting records relating to Aegis and shall place all monies into a bank account in the name of the Trustees of AEGON UK Staff Association or as directed by the Trustees
  • be responsible for paying all the Association’s expenses and shall ensure that all cheques drawn are properly authorised, provided that in respect of payments in excess of £250, the signatures of two authorised signatories are obtained
  • recommend to the Trustees, the Executive Committee and the Central Council proposals for the investment of surplus funds and on the authority of the Central Council make the necessary arrangements
  • prepare interim accounts as required by the Central Council
  • prepare for consideration and approval at an Annual General Meeting an Income and Expenditure Account and a Balance Sheet showing the state of the Association’s affairs at the end of the financial year -copies will be circulated to members prior to the Annual General Meeting
  • prepare an Annual Return for submission to the Certification Officer for Trade Unions & Employers’ Association
  • prepare a financial statement for circulation to the members within 8 weeks of the submission of the Annual Return to the Certification Officer
  • maintain a petty cash float not exceeding £500 for the payment of properly authorised expenses. (It is preferred that expenses are paid by cheque)
  • for the first meeting of the financial year, prepare budgetary recommendations to enable the Central Council to fix the amount of Members’ subscriptions in accordance with Rule 8 (a)
  • recommend the level at which expenses will be re-imbursed to Divisional, Central Council, Executive members and Officials and staff
  • report to each Executive Committee & Central Council meeting on the Association’s income and expenditure, assets and liabilities
  • ensure that there is an insurance policy in force to indemnify Representatives at all levels
